OCU Facilities
Welcome to OCU Facilties Work Order Request System. This system helps to get your maintenance needs to the appropriate personnel in order to resolve your issues as quickly as possible. This system is used for NON-Technological needs. If you need to report an issue relating to technology, please go to Helpdesk.okcu.edu to submit a request for Campus Technology Services.

- Follow the prompts and complete the information requested.
- If you have registered before all you will need is your email address as seen in the screen below. After you enter your email address, click Submit.

Entering a Work Order

Your Information - Please review the information on your screen such as email and phone numbers. It is important that this information is correct in the event we need to contact you for more information regarding your work order.

Location - The location information is very important also, please make sure that you select the location where the maintenance issue is located, the area (floor, restroom, elevator, etc.), and the room number or name if applicable.
Problem Type - Carefully choose the appropriate type of problem need to be repaired. If you are unsure, choose the one you feel would describe the issue. Examples follow these instructions.
Maintenance Emergency - Remember, just because you might want the work done immediately, does not mean it is an emergency. Emergencies are defined as plumbing issues causing damage to property, power outage (not light bulbs), fixtures hanging by wires or hanging out of ceiling, elevator problems that might harm individuals, broken glass, locked out of room, etc.

Problem Description – Make sure that you give a good description of the problem. Too much information is better than not enough. For example, your refrigerator is leaking around the bottom. Instead of putting just “refrigerator”, put “refrigerator is leaking from the bottom”.

Time Available – If you feel that you need to be there when the maintenance occurs, you can put a time in for us to meet you and request a call. Our maintenance technicians have the ability to enter any room on campus, but will not arrive prior to 9am and will announce their arrival as “maintenance”. Please make sure that your request if you need to be there is within the working hours of the Facilities department.

Purpose - Ground, Housekeeping, Maintenance, etc.

Completion Date – Put the date you would like for the work to be completed by. We will do our best to meet that date.

Password – If you have not changed your password, then type in gostars.

Submit - Click on the Submit button.
Once you have clicked on the Submit button, it will take you to the My Maint Request screen. This screen shows you all the work orders that have been submitted to Facilities on your behalf. You can check the status of your work orders and if the status has changed, see the reason in the Action Taken box.
Once we receive your work order, it will be assigned to the appropriate personnel for the repair to be completed. When our technicians come out to do the work, if you are not in the room, they should leave their business card or yellow door hanging tag telling you what was done. Once the work order is returned to the Facilities Office, the information is entered and the work order changed to the appropriate status (Closed, Pending, Parts on Order, etc.).

Furniture
Repairs
Assembling of new furniture When furniture is ordered a work order should be put in immediately with a tentative date of arrival so that we can block enough time for the furniture to be assembled and put into place. Enter the completion date that you would like the project to start after the furniture has arrived.
General Maintenance
Any request that does not fall under the categories listed with the acceptation of Elevator issues. They would fall under Miscellaneous.

Moving
Be specific as to what is being moved.

Major moves require a week to two week’s notice in order to schedule the man power to make the move

Pest Control
Anything related to insects or rodents. Be specific when giving information as to what it looks like or is.

Toilet constantly running

Some dorm rooms have GFI plugs. Try resetting if you have plug issues.
